Terms and Conditions

General

These terms and conditions are governed by the laws of Queensland, Australia. The Institute of Health and Biomedical Innovation (IHBI) at the Queensland University of technology (QUT) is the organiser of the Event. All references to “we”, “our” and “us” are references to the IHBI inspires committee at IHBI. References to “you” and “your” are references to either the individual delegate registering for the Event, or the organisation registering for the Event on behalf of an individual delegate, as the context may require.

All costs reflected on our website and registration sites are in Australian dollars (AUD) and inclusive of goods and services tax (GST). Please note that all deadlines reflected below are in Australian Eastern Standard Time (AEST).

Disclaimer

The Conference Organisers reserve the right to change information on the Conference website without notice to you. This may include changes to the draft Conference program.

Modification / Postponement / Cancellation of the Event or any part of the Event

IHBI and QUT reserves the right at any time and for any reason to:

(a) change the format, participants, content, location and timing or any other aspect of the Event;
(b) postpone the Event or any part of the Event; or
(c) cancel the Event or any part of the Event,

and if Conference Organisers makes any such modification, postponement or cancellation, it shall not be liable for any expenditure, damage or loss incurred by a delegate or their organisation as a result of such action, other than refund of any prepaid registration fees.

Insurance

Delegate registration fees do not include insurance of participants against accidents, sickness, cancellation, theft, property damage or loss.  Participants are advised to take out adequate personal and/or travel insurance.

Force Majeure

QUT and IHBI shall assume no liability whatsoever in the event this conference is cancelled, rescheduled or postponed due to a fortuitous event, Act of God, unforeseen occurrence or any other event that renders performance of this conference impracticable, illegal or impossible. For purposes of this clause, a fortuitous event shall include, but not be limited to: war, fire, labour strike, extreme weather or other emergency.

Delegate Behaviour

The IHBI Inspires Conference reserves the right to deny entry to or remove persons from the IHBI Inspires 2019 Conference at the Conference Organisers discretion. It is your responsibility to read the Visitor Information Summary available here prior to arriving at the Conference.

Each registrant will receive a name badge at the Conference upon registering onsite. The badge will be your official pass and must be clearly visible at all times to obtain entry to all sessions and to social functions.

You indemnify and hold us harmless against all liabilities, losses, costs and expenses we may incur, including defending and resolving any claim brought against us by a third party, that has arisen from your or your delegate’s unlawful or negligent acts or omissions in relation to this Event or any breach of these terms and conditions.

The Venue Managers expect appropriate behaviour from attendees and reserve the right to revoke the badge and privileges of anyone behaving in an inappropriate manner.

Photography & Filming

Photographs and videos of you may be taken during your participation in the Conference. By participating in the Conference, you consent to the Queensland University of Technology, IHBI and any sponsoring and supporting organisations using these photographs/videos for promotional, news, multimedia, research or educational purposes. If you do not consent to your image being used, you must advise the Conference Organisers via email to ihbi.inspires@qut.edu.au.

Any photography or recording of oral or poster presentations or presenters at the Conference by delegates is strictly prohibited without the express written or verbal consent of the presenter or author of the material.

Special Requirements

It may not be possible to cater for special or dietary requirements unless they are requested at time of registration. The Conference Organisers will do their best to cater for all requirements, however cannot guarantee this will be possible.

Abstract Submission Policy

By submitting an abstract to the IHBI Inspires Annual Conference 2019, you agree to the Terms and Conditions outlined below.

IHBI Inspires 2019 assumes that all authors have approved the submitted abstract. All abstracts must be written in English and submitted online using the EasyChair submission website. IHBI Inspires accepts up to two submissions per presenting author. Students submitting to IHBI Inspires 2019 must get their supervisors’ approval prior to submission.

IHBI Inspires 2019 accepts no responsibility for submitted abstracts. The responsibility remains with the authors. The copyright of all abstracts rests with the authors and IHBI Inspires 2019 may not be held responsible for any infringements as a result of plagiarism, libel, slander or any misuse of material. Authors submitting an abstract for the IHBI Inspires 2019 meeting do so with the understanding that they will abide by the conditions, deadline policies and decisions of the IHBI Inspires Committee.

Notification of acceptance or rejection will be communicated to the authors by  10th July 2019
Abstracts are submitted with the understanding that when an abstract is accepted, the presenting author will register by  01st August 2019 and attend the meeting. Should the presenting author be unable to attend the meeting, a registered co-author may present the oral or poster presentation instead.

Presenter Policy

By agreeing to present an oral or poster presentation at the conference, you agree to adhere to the presenter deadlines outlined below. Please note that failing to meet the above deadlines may result in your removal from the program.

Abstract submission deadline: Friday 7th June 2019.

Presenter registration deadline: Thursday 1st August 2019.

Please note that abstracts must follow the guidelines provided here.

Conference organisers reserve the right to make changes to the draft program without notice. It is your responsibility check your presentation time. Once the final program has been published you will be notified should any changes be made to your presentation time.

Payment Policy

IHBI HDR students
IHBI HDR students who have abstracts accepted to present an oral or poster presentation will have their registration costs covered by their IHBI Research Theme provided they register during the Earlybird registration period (including the conference dinner). Any IHBI HDR students who register after the Earlybird registration period lapses will have their registration cost deducted from their student allocation.

IHBI HDR students who wish to attend but not present will be considered by their Theme, however due to limited spaces this will be based on how early they register. Priority will be given to students who are presenting. Please note, that IHBI HDR students who are not presenting can also utilise their student allocation to cover the registration costs.

Any IHBI HDR students who register and do not attend the conference will have their registration cost deducted from their student allocation. Please refer to the Cancellation Policy.

IHBI Staff
Provided they register during the Earlybird registration period, IHBI Staff will have their registration costs (including conference dinner) covered by their Research Theme or Program according to the following guidelines:

  • Health Determinants and Health Systems (HDHS)
    • Up to 25 academic staff, covered by their relevant Program
  • Injury Prevention and Trauma Management (IPTM)
    • Numbers may be capped depending upon numbers from each Program
  • Chronic Disease and Aging (CDA)
    • Numbers may be capped depending upon numbers from each Program

Any IHBI Staff who register after the Earlybird registration period lapses will have their registration cost invoiced to them. Staff funded by their Theme/Program will be expected to participate in the conference through judging of oral or poster presentations. Any IHBI Staff who have their registration funded by their Theme/Program and do not attend the conference will have their registration cost deducted invoiced to them. Please refer to the Cancellation Policy.

IHBI Staff who wish to attend but not present will be considered by their Theme, however due to limited spaces, priority will be given to staff who are presenting. Any IHBI staff who wish to attend but not present are more than welcome to fund their own registration costs.

External registrants
Registration payments are required at the time of booking.

Payment is accepted via Visa or MasterCard. If you require other payment options please contact the Conference Organisers at ihbi.inspires@qut.edu.au prior to registering.

Please note: Your registration is at risk of being cancelled until payment is confirmed.

Conference Registration Cancellation Policy

Registration cancellations will not be accepted unless made in writing to the Conference Organisers via email at ihbi.inspires@qut.edu.au.

Registration cancellations received up until Friday 26th July 2019, will be refunded less 25% for administration fees (please note if you have not paid you will still be invoiced for this amount). After this date, no refunds will be given. Full cancellation fees will also apply to non-paid accounts after this date. 

Any IHBI HDR students who have their registration funded by their Theme and do not attend the conference will have their registration cost deducted from their student allocation.

Any IHBI Staff who have their registration funded by their Theme/Program and do not attend the conference will have their registration cost invoiced to them.

In special circumstances, cancellations after Friday 26th July 2019 may be considered on a case-by-case basis at the absolute discretion of the Conference Organisers. Delegates must contact the Conference Organisers as soon as possible via email at ihbi.inspires@qut.edu.au if they need to cancel their Conference Registration after this date.

Social Function Cancellation Policy

The Conference Organisers reserve the right to cancel the Conference Dinner or change venue if minimum numbers are not reached, or for any other reason at the discretion of the organisers. In the event of a cancellation by the organisers, you will be refunded any fees that you have paid in relation to the Conference Dinner and that will be your sole remedy. Conference Dinner cancellations received up until Friday 26th July 2019, will be refunded less 25% for administration fees. After this date, no refunds will be given.

Any IHBI HDR students who have their registration costs covered by their IHBI Theme and who register to attend the Conference Dinner but do not attend, will have the cost of the Conference Dinner ($150) deducted from their student allocation, unless there are reasonable and legitimate reasons.

Any IHBI Staff who have their registration costs covered by their IHBI Theme/Program, and register to attend the Conference Dinner but do not attend, will be invoiced for the cost of the Conference Dinner ($150), unless there are reasonable and legitimate reasons.

In special circumstances, cancellations after Friday 26th July 2019 may be considered on a case-by-case basis at the absolute discretion of the Conference Organisers. Delegates must contact the Conference Organisers as soon as possible via email at ihbi.inspires@qut.edu.au if they need to cancel their Conference Dinner registration after this date.
